Indiana University Alumni Association Affiliate Groups Policy

I. Definition – Affiliate groups are a wide variety of special-interest alumni organizations that have been established by alumni with common interests. These alumni organizations have been recognized and are supported by the IUAA. The groups sponsor events, publish newsletters, recognize alumni, and serve IU in a variety of ways. There are currently 25 affiliate groups:

II. Purposes – The purposes of affiliate groups are to:

A. Provide a means whereby alumni and friends of the university with common interests may formally organize to sponsor alumni events and programs.

B. Support the mission, goals, and objectives of the affiliate group, the IUAA, and the university.

III. Criteria for Recognition – A group applying for recognition by the IUAA as an affiliate group must meet the following criteria:

A. Have an identifiable constituency that is part of the IU alumni body.

B. Obtain sponsorship by a university unit related to the group’s special interest.

C. Draft a constitution, which defines the group, its mission, and its governance structure. The constitution must be approved by the IUAA.

D. Identify officers and board members to assume leadership responsibilities of the group. All officers and board members must be members of the IUAA.

E. Receive approval from the IUAA’s executive council and board of managers, who will ascertain that inclusion of the proposed group will strengthen the IUAA in its overall program.

IV. Policies and Procedures

A. Affiliate groups will submit programming plans and an annual budget for review by the IUAA.

B. Affiliate groups will not charge separate membership dues and are expected to help increase membership in the IUAA.

C. The IUAA will provide limited budgetary and staff support for affiliate groups.

D. Affiliate groups are official organizations of the IUAA and shall conform to all IUAA policies and procedures.

E. IU trustee election – Affiliate groups may not endorse any individual candidate running for the position of trustee or contribute money in support of a campaign. Alumni mailing labels and lists may not be released to candidates or their supporters. Alumni newsletters may contain news that a particular person is running from a particular area, but it also must mention the other candidates.

F. Affiliate groups should not engage in direct fund raising activities, i.e., direct mail, telephone, or personal solicitation, without the approval of the Indiana University Foundation, which has been designated by the trustees of Indiana University as the official fund raising agency for the university. Groups should contact the executive director of development at the Indiana University Foundation for information.

V. Executive Council Representation – Affiliate groups with an annual income of $25,000 or more are granted a representative on the executive council.
